Smart Calendar Suite | Leave Planner, Project Tracker & Countdown in one place

Most calendar apps do one thing well. Google Calendar handles events. LeaveDates handles leave. ClickUp handles projects. If you want all three, you are paying for multiple subscriptions, managing three separate tools, and still manually cross-checking who is on leave against your project deadlines.

The ExcelGuru Smart Calendar Suite was built to end that. One free, browser-based tool with a full interactive calendar, a leave planner, a project deadline tracker, live countdown timers, and export to both PDF and Excel — all in a single page, no account required, working perfectly for India, UAE, UK, and USA.

Whether you are an HR manager tracking five employees’ leave balances, a freelancer chasing client deadlines, or someone who just wants a clean yearly view with public holidays pre-loaded — this tool covers you.

💡  Why most free calendar tools fall short

Google Calendar requires a Google account and only shows a monthly view. Notion needs templates and manual holiday entry. Free leave planners are Excel downloads that break when you open them on a phone. None of them combine leave + projects + countdowns in a single, instant, browser-based tool.

Three Calendar Views — Yearly, Monthly, and Weekly

Most tools offer only a monthly calendar. We built all three views because different planning tasks genuinely need different perspectives.

Yearly View — The Big Picture

The yearly view shows all 12 months side by side on a single screen. Public holidays appear in red on every month, leave periods are highlighted in green, and project deadlines show in amber. Click any month and you jump straight to its monthly detail.

This view is invaluable for HR managers planning team coverage across the year, or for freelancers trying to identify which months are already crowded with deadlines and which have capacity for new work.

Monthly View — Day-to-Day Management

The standard calendar grid, built for daily interaction. Each day cell shows up to three events colour-coded by type: holidays in red, leave in green, deadlines in amber, general events in blue, and countdown markers in purple. Click any day to select it, see a detail panel on the right, and quickly add events from the side panel without opening a modal.

Today’s date is always highlighted with a green circle. The selected day is visually anchored in the panel, showing all its events, any public holiday, and relevant leave entries.

Weekly View — Hour-by-Hour Planning

The weekly view shows seven days with time slots from All Day through 6 PM. This is the most useful view for shift planners and consultants who need to see work schedules at a granular level. Events, leave, and deadlines all appear on their respective day columns. The week automatically adjusts for UAE (Saturday–Friday) versus the standard Sunday–Saturday week in other countries.

🇦🇪  UAE-specific calendar logic

The UAE working week runs Saturday through Thursday — Friday and Saturday are the weekend. Our calendar automatically adjusts the column order and weekend shading for UAE users. This is a detail that every other free tool misses, making this the only browser-based calendar that works correctly for Dubai and Abu Dhabi teams out of the box.

Public Holidays — Pre-loaded for India, UAE, UK, and USA

Rather than asking you to manually enter holidays — a step that every other free tool requires — the Smart Calendar Suite pre-loads the correct public holidays for all four supported countries, across 2025 and 2026.

  • 🇮🇳 India — Republic Day, Holi, Independence Day, Gandhi Jayanti, Diwali, Dussehra, Christmas, and more
  • 🇦🇪 UAE — New Year, Isra Mi’raj, Eid Al Adha (all days), Arafat Day, Islamic New Year, National Day (Dec 2-3)
  • 🇬🇧 UK — Good Friday, Easter Monday, all Bank Holidays, Summer Bank Holiday, Boxing Day
  • 🇺🇸 USA — All 11 federal holidays including MLK Day, Memorial Day, Juneteenth, Thanksgiving, and Christmas

Switch country with one click at the top. The calendar redraws instantly — holidays update, weekends adjust, and the leave planner recalculates working days excluding the correct public holidays for your region.

Leave Planner — Track Up to 5 Employees

The leave planner is designed for small teams — up to five employees — who need something better than a shared Excel spreadsheet but do not need the complexity or cost of full HR software.

How it works

Click “+ Add Employee” and enter the person’s name, department, and annual leave allowance (the default is 25 days). The employee card appears showing a progress bar of days used versus remaining.

To mark leave, click “+ Mark Leave” or the “Add Leave” button on the employee card. Select the employee, start date, end date, and leave type. The tool automatically calculates the number of working days in the range — excluding weekends and the public holidays for the selected country — and deducts them from the employee’s allowance.

Six leave types supported

  • Annual Leave — deducted from allowance
  • Sick Leave — tracked separately, not deducted
  • Casual Leave — tracked separately
  • Work From Home (WFH) — visible on calendar, not deducted
  • Maternity Leave — tracked separately
  • Unpaid Leave — tracked separately

All leave periods appear on the main calendar in green, making it immediately visible when an employee is away. The leave planner also shows the last five leave entries per employee in reverse chronological order.

📄  Leave Report PDF

Click “Leave PDF” in the export bar to generate a formatted leave summary report showing each employee’s total allowance, days used, days remaining, and a full table of every leave period with working-day counts. Ideal for end-of-year HR reviews or monthly team reports.

Project Deadline Tracker

The project tracker lets you add work items with a start date, deadline, owner, and priority level (High, Medium, or Low). Each project card shows:

  • A live countdown badge — e.g. “14 days left”, “Due today”, “3 days overdue”
  • A color-coded progress slider — drag to update completion percentage from 0–100%
  • Visual status badges — On track, Due soon, Overdue, Done
  • Both dates displayed — start date and deadline in the same card

Project deadlines also appear on the monthly calendar as amber events, so you can see at a glance which weeks are heavy with deliverables and plan leave or other commitments accordingly.

The countdown badge color changes automatically: green when there is comfortable time remaining, amber when under 30 days, red when under 7 days, and a filled red badge when overdue.

Live Countdown Timers

The countdown tab shows ticking real-time counters for any event you add — days, hours, minutes, and seconds, updating every second in the browser.

Add a countdown for a product launch, a client presentation, a job interview, a holiday departure, or a birthday. Assign it one of six categories: Work Deadline, Birthday, Holiday Trip, Product Launch, Meeting, or Personal. Multiple countdowns run simultaneously on the same screen.

Past events flip to a red “passed” style — the counter continues running backward so you can see how many days ago something occurred.

Export Options — PDF and Excel, 4 Formats Each

The export bar at the bottom of the tool gives you six one-click options:

PDF exports (opens in new browser tab, then Save as PDF)

  • Monthly PDF — full A4 calendar grid with all events, colour-coded, print-ready
  • Yearly PDF — all 12 mini-months + full public holidays list for the year
  • Leave Report PDF — per-employee leave summary with working-day calculations
  • Project Report PDF — sortable deadline table with status badges and progress

Excel export (instant download)

The Excel export generates a .xlsx file with four sheets:

  • Calendar Events — all custom events with date, title, type, and notes
  • Leave Summary — all employees with allowance, used, remaining, and every leave entry
  • Projects — all project cards with owner, priority, dates, progress, and status
  • Countdowns — all countdown events with target date, category, and days remaining

Print

The Print button triggers a browser print dialog styled with clean print CSS — the header, tabs, sidebar, and export bar all disappear, leaving a clean calendar grid suitable for wall-mounting or filing.
